Job Title: Subject Matter Expert – Pre-Appointment Screening

 

 

Purpose of job:

 

The Subject Matter Expert is responsible to mentor, advice, manage the team, support the operations and manage feedbacks/ complaints of the process and engage with stakeholders for effective delivery of Global PAS and ensuring organisation compliance with Baseline Personnel Security Standard of both pre-screening and in-employment re-screening. 

 

Experience areas:

 

  • Able to simultaneously manage tasks for multiple processes
  • Ability to adapt quickly to different IT systems
  • Be proficient with Microsoft office, especially excel and outlook
  • Have great interpersonal and communication skills
  • Be Versatile. A big part of the IELTS function is the willingness to help one another even though it may fall outside of the job description
  • Motivated self-starter who must be eager to learn and develop as the role expands

 

Knowledge of:

 

Essential

  • Strong experience of working in Background screening industry with strong experience of managing the Background screening process of an MNC
  • Shall be independently handling floor Ability to plan well and prioritize work
  • Proactive approach with focus on problem analysis & resolution
  • Ability to communicate effectively to all levels of internal and external contacts verbally and in writing
  • Proficient using Microsoft Office
  • People leadership experience

 

 

Desirable

  • A person who has independently managed shifts in previous organisations.
  • A person who has worked in secured process/ environment in previous work profiles.
  • Lean/six sigma certification
  • Vendor Management experience

Operations:

Leadership skills:

  • Should be able to look and pre-empt problems and identify solutions with logical analysis.
  • Should have a flair for achieving organisation goals and driving Continual Improvement projects.

Operations

  • Is a Subject Matter Expert for the process and is responsible to mentor, advice and support the executives in delivering the work with high quality and efficiency.
  • Work proactively with Region teams to resolve issues, judging when further escalation to stakeholders is needed, support the regions in escalation process as necessary
  • Expert with all the tools & technologies that are in use in the process.
  • Act as escalation point when challenges arise, including new compliance requirements
  • Is responsible for managing feedbacks/ complaints in the process and taking corrective actions to avoid repeats.
  • Deliver relevant, timely MI to stakeholders, driving efficiency & compliance, informing of trends in screening and enabling informed decision making
  • Manage vendors/partners to ensure quality, productivity, and service level expectations are achieved
  • Responsible to ensure all process & service-related compliances are adhered in the process.
  • Responsible to engage with stakeholders for effective delivery of Global PAS
  • Carrying out performance measurement, monitoring, and evaluation of entire team to monitor service quality & improve efficiency.
  • Preparing and directing schedules, monitoring attendance of the team, scheduling breaks and shifts as necessary.
  • Conduct regular team meetings and one on one sessions with the teams
  • Ensuring team members acquire the appropriate support and training to apply the best skills and knowledge on the job.
  • Create SOP’s/Maintain Knowledge articles/updates and share with team on a regular basis.
  • Support team on all queries (e.g. Process/Transport/Admin/Payroll/Team Related) independently and occasionally with support of relevant stakeholders.

Quality Management

  • Manage performance of team and report non compliances as per the guidelines.
  • Achieving quality related KPIs of the process.
  • Driving continual improvement initiatives in the process.

Governance and Reporting

  • Maintain Schedule Adherence, Work Force Management (Break management), Shift Management and Rotation.
  • Good with MS Excel and formulas for reporting purposes
  • Practicing and ensuring compliance with that of all the BCMS’ policies and procedures.

 

Information Security and other mandatory compliances:

  • Read, understand and comply with the information security policies.
  • Raise incident / blow whistle when observe any noncompliance to information security or IELTS compliance related policies.
  • Ensure compliances to Organizational policies like code of conduct, IT policy etc.

 

Qualifications:

 

  • Graduation or equivalent
