Main Accountabilities: Programme/service support: Delivers a range of administrative and/or customer services within agreed corporate procedures, to maximise quality, continuity and efficiency of Cultural Engagement team and projects. Maintains accurate records as they relate to the work area and drafts routine and some non-standard documentation, reports or financial analysis/reconciliations. Performs straightforward analysis, manipulation and interpretation of data, tasks or information, presenting findings/results accurately and appropriately to support effective maintenance of management information systems. Provides logistical support to the organisation and delivery of internal and external cultural/education activities/events, to ensure they run smoothly and efficiently. Supports Cultural Engagement programme operations by creating purchase orders, setting up vendors, preparing contracts, and assisting with procurement procedures across all programme directions. When necessary, supports Cultural Engagement project implementation and engagement with stakeholders, including handling correspondence and organising meetings. Customer support Receives and responds to enquiries from/to customers and may be a specific point of reference on queries relating to an area of nominated expertise or responsibility. Identifies where more complex issues require resolution by others and refers them on accordingly. Recognises and understands the impact of incidents arising (e.g. complaints, resourcing problems, logistical or technical difficulties) and proactively alerts the team leader to any issues of concern that are likely to impact service/project/task delivery or customer experience. Relationship & stakeholder management: Proactively communicates and liaises with others (inside and outside the British Council) to ensure effective coordination and delivery of events, services and activities. Builds an understanding of who's who within the wider department, unit, or region to enable effective resolution of issues when they arise. When necessary, supports engagement with stakeholders through maintaining communications, organising meetings, and providing administrative support for collaboration activities. Finance & resource management Monitors and takes responsibility for small-scale resources/cash/stock, following established procedures and ensures that equipment and materials are available and ready to use when needed. Supports financial procedures related to programme operations, including raising purchase orders, managing vendor records, and assisting in contract preparation. Managing self & others Plans and prioritises own work activities, responding to changing requirements to ensure effective delivery of responsibilities over a daily/weekly time horizon. Tasks and coordinates others (e.g., internal colleagues or external contractors/suppliers) to complete time-limited, straightforward activities within established procedures, in order to ensure efficient delivery of services. Monitors task completion to agreed quality and time standards. When necessary, supports recruitment of off-payroll workers/consultants and coordination of activities related to events and project delivery. Minimum/essential Experience supporting finance operations (such as purchase orders, vendor management, and procurement processes) for cultural and education projects. Experience in delivering administrative support for international projects. Experience in organising and delivering logistical aspects of cultural/education events. Experience in building and maintaining productive working relationships with internal and external stakeholders. Desirable: Experience of work with SAP Experience of working in the cultural and educational projects (not teaching) Experience of working with local government organisations, particularly in an administrative or project support capacity.
